From two hours of daily keying to a 20-minute review

A hardware supplier receiving 60–80 delivery orders daily was keying invoice data manually into their spreadsheet. Two staff members spent two hours each afternoon on this. Errors crept in during busy weeks. The data was often a day behind because they couldn't keep pace during deliveries.
What we set up
A reading step configured to extract supplier name, invoice number, item descriptions, quantities, and amounts from their standard delivery order format. Tuned on 100 recent orders. Connected to their existing Google Sheets workflow. Unclear items flagged with the field highlighted, not guessed at.
After one month
79% of delivery orders processed without manual input. Staff review the flagged 21% — mostly handwritten orders and occasional non-standard supplier formats — in about 20 minutes. The data is now current by end of business each day. Limitation note documented the handwritten gap clearly.
Two-day month-end close shortened to half a day
Starting point
A 12-person services firm was closing its accounts at month-end through a manual process that took a part-time bookkeeper two full days. Bank lines had to be matched against 150–200 transactions each month. The bookkeeper worked overtime most months to finish before the reporting deadline.
What we set up
An integration with their existing Xero account (read access only) that pulls bank statements and open invoices and suggests matches with a confidence percentage. Unmatched items are presented in a single list. The bookkeeper reviews suggestions and confirms or overrides each one before any entry is made. Fallback procedure documented for when Xero API connection is unavailable.
After one month
First month-end close using the tool: 4.5 hours to complete instead of two days. Of 178 transactions, 141 were matched at high confidence and confirmed by the bookkeeper quickly. 37 required closer review. No transactions written to accounts without bookkeeper confirmation. Director reviewed and found no errors at the first attempt.
From reluctant users to confident troubleshooters in one month
Starting point
A trading company had set up AI tooling for drafting routine supplier replies but found that two of the three staff using it were either avoiding it or consistently using the output without reviewing it. Errors were reaching suppliers. The admin manager wanted the staff to be able to use the tool well, not just use it.
What we ran
Four one-hour coaching sessions over a month, using actual supplier replies that had been sent with errors in the previous two weeks. Each session worked backwards from a real mistake — why the tool produced that output, and what to check before sending. Staff asked to bring examples from each week. Sessions run online; one in-person visit for session 3.
After the engagement
Admin manager reports that both previously reluctant staff members now flag tool errors themselves before sending and occasionally catch each other's oversights. The company has not needed to contact us since handover. One staff member has started reviewing the tool's output for a junior colleague who joined recently, using the session recordings.
